Yap Films is an award winning independent production company in Toronto that specializes in documentaries and factual series and specials.

We are seeking someone to be our executive assistant & receptionist. The job requires someone who is well organized, detail oriented, able to work within a fast-paced environment and who is friendly.You will support and work directly with our executive producers while at the same time oversee and maintain the office.

An ideal candidate would be someone with administration and executive assistant experience, knowledge of iCal and has experience in the television production industry with submitting to film festivals and television conferences (like MIP & WCSFP).

General list of responsibilities for this role include:

  • Arranging and updating meetings and travel schedules for the executive producers, including applying for travel visas when required and keeping them informed on a timely basis.
  • Coordinate and attend meetings, record meeting minutes and distribute to appropriate parties.
  • Office duties include greeting guests, arranging and receiving couriers, replenishing office supplies, arranging and setting up for new staff email accounts and building security pins; overseeing and ordering kitchen supplies.
  • Oversee and communicate with contractors who maintain the building.
  • Schedule and coordinate office functions (sending invitations, booking venues, arranging caters, food and beverage and confirming attendance).
  • Assist production staff with show premiere dates (post cards, e-mail blasts & screening events).

Job Type: Full-time

Salary: $40,000,000.00 to $47,000,000.00 /year

Experience:

  • office administration: 1 year (Preferred)
  • executive assistant: 1 year (Preferred)
