Seasonal Program Assistant – New York Botanical Garden – Bronx, NY

The Program Assistant will assist the Public Education staff in executing weekend programing for visitors. Duties include making advance preparations for programs, distributing event materials, soliciting public participation, assisting with the setting up, running the events, and handling post-event tasks. The Program Assistant will work with other staff and volunteers to guarantee high quality public offerings. This position will be required to work outdoors during many seasonal programs as well as work weekends, some weekdays, evenings and holidays.

Specific Duties and Responsibilities:

  • Assemble, manage, troubleshoot and monitor A/V and lighting needs for lectures, films, live performances, and demonstrations
  • Responsible for executing various administrative duties, including material preparations for meetings and events.
  • Collect, retain, and update data for departmental records, including programming grids, post-event recaps, and database files relating to past and present programs
  • Contribute feedback to support the content of programs and research ideas for future programming
  • Support artists/performers with load in/out of equipment, transportation, and hospitality needs such as artist escort and greenroom tidiness
  • Assist Operations and Public Ed Management with the setup and breakdown of tents, tables, chairs, and other day-of-event production
  • Delegate tasks and responsibilities to volunteers, freelancers, and interns
  • Work interdepartmentally with Security to properly load in/out artists & performers and escort to onsite locations
  • Provide instruction and information on various garden programs to general Garden visitation, distributing event materials and assisting with visitor traffic flow
  • Organize, inventory, and maintain equipment in storage spaces to ensure efficient functionality
  • Organize printed materials and set up informational tables
  • Help collect data about visitors and their experiences
  • Other administrative tasks as necessary
  • Solicit program participants
  • Walk to various areas in the Garden required
  • Required to drive a golf cart
  • Perform other duties as specified and needed by department management
  • Some lifting of up to 50lbs required

REQUIREMENTS:

  • Driver’s license required
  • Familiar with audio-visual equipment and Microsoft Office is required
  • Must have excellent communication skills
  • Ability to stand and/or sit for long periods of time
  • Keep up to date and knowledgeable on all Garden events and current exhibitions
  • Experience working with the public and assisting with events
  • Familiarity with cultural institutions and related programming
  • Prompt and attentive to detail
  • Schedule includes weekends, some weekdays and select holidays
