True Film Production is looking for ROCKSTAR Office/Admin to assist our Production and Leadership Team. Duties of the Administrative Assistant include providing support to our leadership team and employees, assisting in daily office needs and managing our company’s general administrative activities.

  • Receive and Properly Transfer all Incoming Calls and Communications
  • Coordinate Calls and Meetings for Leadership Team
  • Receive and Direct Visitors to Meeting Rooms
  • Organize Company’s Google Drive
  • File, Scan, Copy, Fax and/or Print Documents
  • Maintain Conference Room Schedules
  • Plan and Execute Team Outings/Events/Activities and Update Team Calendar
  • Ship/Deliver, Receive, Sort and Distribute Postal Mail and Packages
  • Maintain and Order Office Supplies
  • Update Company Reports
  • Review and Filter Company’s Info Mailbox
  • Book Travel Arrangements – tickets, hotels, etc.
  • Offer Day to Day Administrative Support – i.e. Calling Customer Service, Computers Breakdown, Email/Password Resets, etc.

Production Assistance

  • Prepare Agendas for Meetings
  • Sit-in and Collaborate on Creative Meetings
  • Review and Filter Talent Database and Talent Email

Marketing Assistance

  • Research Trends and Topics

Finance Assistance

  • Manage Vendor Database
  • Communicate with Client to Collect Payment and Credit Card Forms
  • Provide Account Statements
  • File Receipts and Bills
  • Prepare Employee Commission Reports

You must (have/be):

  • Proven Experience as an Office Administrator, Office Assistant or Other Similar and Relevant Role.
  • Excellent at Multitasking and Prioritizing.

  • Excellent Communication and Interpersonal Abilities.
  • Able to Identify, Understand and Help Solve Problems.
