Provide planning, oversight and management for the Media Facilities department with direct and primary responsibility of providing audiovisual (A/V) and classroom coordination support services for the Medical Center’s daily operations. Accountable for budget forecasting, maintenance contracts, inventory orders and expenditures as related to the support of the A/V environment.

Principal Responsibilities:

  • Responsible to provide daily oversight for the team supporting the institution’s A/V technology used throughout the Medical Center. Must be a hands-on manager that has an in-depth knowledge of and can troubleshoot the following (not all inclusive): A/V rack systems, codecs, Audio Mixers, Control Systems, A/V Automation, Wiring, Amplifiers, Microphones, Projection systems, Video Cameras and other peripheral equipment. Crestron, AMX, VoIP Video and Telephony, Call Manager (CUCM), Cisco TelePresence (Acano/Tandberg/Codian), ClearOne, and WebEx CMR, Cisco TCS, Cisco Unified Communications products, Epiphan, Vbrick, Meeting Room Manager, ALEX, Webex, Meeting 2.0, Cisco Jabber, Spark.
  • Manage Media Facilities staff including writing and conducting performance evaluations & all aspects of the performance management process; training & development; and creating/ maintaining coverage staff schedules. Coach and arrange cross-training with other MCIT members to raise the knowledge level of staff members.
  • Facilitates all A/V requests for events and meetings. Oversees team in the setup, installation, maintenance and support of audio visual systems and equipment. Arrange vendor visits to repair equipment.
  • Maintain budget, maintenance contracts and inventory records including serial numbers, property tags of all applicable equipment. Handle and track all billable services – including invoicing and/or IOI transactions & deposits to Media Facilities accounts.
  • Liaise with the Unified Communications, engineering teams and campus transformation teams to support new technology roll-outs. Perform or schedule room-checkouts. Serve as an end user advocate reporting recurring issues and/or design suggestions/requirements back to MCIT engineering teams to address.
  • Maintain an ongoing relationship with the various school course directors & their daily audiovisual needs. Liaise with the office of Special Events and the office of Continuing Medical Education with their Post Graduate Courses. Coordinate activities amongst faculty, students, deans, facilities, executive, IT and Environmental Services personnel to ensure the support and smooth operation of meeting and classroom operation.
  • Assume responsibility for computers and their proper operation in various parts of the Medical Center. Troubleshoot and provide technical support and service to students, faculty & medical center staff for any A/V problems.
  • Keep abreast of new technology as it relates to the A/V unit’s daily operation and support responsibilities.
  • Maintain a weekly schedule of: classes, grand rounds, and special events that require A/V assistance.
  • Build and maintain a positive, collaborative relationship across all disciplines, while ensuring that key business drivers are addressed.
  • Identify opportunities for process improvement.
  • Ensure staff are performing the following activities:
  • Proactive early morning rounds for equipment checks (school rooms & executive conf rooms), testing all phone/communication equipment in classrooms; replacing faulty equipment and projector bulbs, keyboard batteries, etc.
  • Monitor online event/class schedule and arrange A/V needs for classrooms. Perform lecture capture activities. Upload daily lectures for student and faculty access.
  • Assess non-A/V classroom needs during rounds (e.g., markers, erasers, etc.) and notify Facilities group of needs.
  • Ensure Meeting Room Manager (MRM) is up to date and facilitate/support A/V room fulfillment requests placed via MRM.

Minimum Qualifications:

  • BA or BS in Computer Science, Information Systems or a related discipline or equivalent work experience. Equivalent work experience is defined as progressively responsible positions over a period of not less than 5 years.
  • Minimum of 3 years’ experience as a people manager.
  • Strong consultative and communication skills, analytical ability, decisiveness, judgment, and the ability to work effectively with end users, IT, staff and vendors.
  • Must have excellent interpersonal skills, and ability to understand the business and technical needs of the end user as well as foster customer relationship building and deliver outstanding customer service.
  • Strong verbal and written communication skills; ability to communicate technical information to non-technical users; ability to work effectively with customers.
  • Candidate should be able to work in a fast-paced environment, support multiple initiatives simultaneously, prioritize work to meet and or exceed established service levels and be dependable.
  • Strong time management, technical and analytical and customer service skills required.
  • Ability to think logically and creatively in problem solving. Should know when to escalate a problem.
  • Contributes individually with supervision and as part of a team.
  • Ability to work effectively with end users, IT and other departments throughout the organization.
  • Working conditions/physical demands of bending and lifting weights up to 40 pounds.
  • Early morning arrival required for pre-classroom preparation and coverage.
  • May be required to work weekends and stay late as necessary.
