THE ROLE:

DPS, a Roc Nation joint venture, which is a Live Nation joint venture is seeking a Production Coordinator to join the team! This role will support the Production and Talent departments.

RESPONSIBILITIES:

Event Logistics Advance with Client, Venue and Vendors-

  • Research, maintain spreadsheets and place orders with vendors for on-site needs
  • Venue rooms access / allocations
  • Organize and coordinate credential needs and work with security teams
  • Manage and coordinate travel for multiple crews on multiple events simultaneously

Event Duties-

  • Office point of contact with client, vendors to manage on site needs / issues
  • Hire and oversee runners
  • Greet and direct vendors (radios, credentials, meal tickets)
  • Assist with production office & client offices set ups (layout, internet, phones)
  • First in / Last out responsibilities
  • Manage producers table Pelican Case

Administrative-

  • Research events and companies
  • Create and assist with managing client presentations
  • Book and manage staffing sheets

Performer and Artist Advance-

  • Build, update and maintain event specific artist advance forms
  • Save and breakdown forms and riders to dropbox; upload to document portal
  • Create and distribute artist contacts to vendors

Talent Department Administration-

  • Hire talent staff per event, and organize their travel and hotel needs
  • Create Document Portal Logins
  • Build out dropbox folders with previous year’s information for each event
  • Schedule internal, client and artist conference calls
  • Manage talent department conference line including talent department staff meetings
  • Artist, venue and vendor research as needed

Executive Assistant Responsibilities-

  • Coordinate meetings, travel, and manage calendars for calls, meetings and walk-thru availability
  • Assist with DPS social media accounts, as needed

QUALIFICATIONS:

  • 1-2 years relevant experience preferred
  • Bachelor’s degree preferred in related field
  • Excellent verbal and written communication skills
  • Problem solving and analytical skills
  • Ability to multi-task, implement new processes, and meet time-critical deadlines
  • Ability to be flexible with hours as workload changes
  • Must be proficient in Mac OS; Microsoft Office (Word, Excel, Outlook, Powerpoint)
  • Familiarity with Adobe Acrobat Pro, Photoshop, AutoCAD, and Vectorworks, is a plus
