Client Services Coordinator, Local Media – NBCUniversal – Englewood Cliffs, NJ

The Client Services Coordinator works closely with and serves as a liaison to various departments, including NBC Owned and Operated clients, Telemundo clients, Post Production teams, and internal GMO Departments.

This role will be the internal contact resource for our overall Department, as well as for our Clients and our extended Post Team. In this role, the Client Services Coordinator will assist the Client Services Manager & ensure that all requests/projects are completed in a timely manner. This individual will support additional initiatives and projects as needed.

Job Duties:

  • Assist Project Manager daily and assist in daily communication with internal and external parties
  • Interact with Assistant Editors and Post Prep Technicians to assign work orders & check assets as needed
  • Check daily reports and follow up as needed
  • Create and maintain workorder charts for daily edits
  • Track feed/promo delivery times & escalate missing promos to distributors
  • Direct interaction with NBC and Telemundo Owned & Operated and Affiliate Clients to ensure syndicated promo fulfillment
  • Client liaison for projects and requests
  • Oversee all incoming and outgoing elements for requests, projects (to ensure content, assets, elements have been delivered for resources to execute)
  • Update and maintain internal tracking documents and systems
  • Coordinate with the Post Client Services Scheduling team to ensure all work performed is captured in our scheduling application
  • Assess processes on a routine basis to develop workflow improvements to promote continued productivity, increased reliability, and growth opportunities for our overall team
  • Create and maintain SOPs for new workflows and/or changes updates needed
  • Conference calls with edit team and/or Client when needed
  • Central communication for EC edit team between client and PM team as needed
  • Track asset volume on a weekly, monthly and yearly basis
  • Supply weekly reports as to volume and special projects per brand
  • Ability to suggest and respond to feedback, notes and/or revisions in a positive way
  • Trouble shoot as needed with vendors and/or deliveries in real time


    Basic Qualifications
  • Bachelor’s degree in Communications, Marketing or similar preferred
  • A minimum of 1 year of experience in client services role
  • A minimum of 1 year of experience in publicity/marketing/sales/communications, ideally in television communications, where the individual was responsible for creative and promotion development
  • Knowledge of all Microsoft Office applications including Outlook, Word, Excel and file sharing software (i.e., Dropbox, Google Drive).
  • Experience handling large volume of emails and multiple ongoing requests
  • Effective communication (written and verbal) and client service skills required to communicate clearly and effectively for interacting with co-workers and clients
  • Strong business writing skills
  • Ability to perform effectively in a fast-paced environment with frequent workload, resource, and timeline changes and pivot priorities with ease
  • Strong organizational skills, thorough and adept at managing multiple projects and requests independently to meet demanding deadlines
  • Solid time-management, multi-tasking and problem-solving skills with clear attention to detail
  • Keen troubleshooting abilities
