The Executive Assistant is responsible for supporting the Executive Team with emphasis given to the CEO, President and EVP of Cannella Media, DTC.

The Executive Assistant is a key support role in aiding executive management to work as effectively and efficiently as possible in a creative, professional and fast-paced environment. The Executive Assistant will work closely with the executive team to ensure that they are prepared for meetings, assisting with managing their schedules written and oral communication with their key business contacts including clients and vendors and appropriately handle confidential and sensitive information.

Job Responsibilities:

  • Support the Executive team with day-to-day schedule, priorities, travel itinerary, client meetings, event schedule, speaking engagements, meeting agendas and notes
  • Facilitate and book meetings with multiple departments, supporting with clear agendas, minutes, and action points. On occasions take point and report back to Executive Team
  • Manage Executive Team’s to-do list and support with email correspondences
  • Assist with scheduling company projects liaising with other departments as required
  • Support the Executive Team to ensure consistent and concise communications amongst all Cannella Media DTC offices and departments
  • Assist Executive Team with background research and special projects
  • Uphold company’s high security practices
  • Maintain receipts, monthly expenses and help manage the Concur accounts for Executive Team
  • Ad hoc involvement as various projects and needs arise
  • Maintaining Company’s posting calendar
  • Disseminate both internal and external communications and articles to blog post, company website, select online venues, such as Instagram, FaceBook, LinkedIn and Twitter
  • Assist in company events and culture building efforts such as: retreats, summits, luncheons, employee recognitions and good will efforts

Essential Skills:

  • Proficient in MS Office Suite, Teams, Google Docs, Photoshop
  • Experience in posting content in social media (Facebook, Instagram, Pinterest, Twitter and LinkedIn).
  • Experience pulling reports’ from social media campaigns
  • Design skills: InDesign, PowerPoint, Prezi
  • Highly organized, strong attention to detail, very responsive and effective follow through
  • Exceptional written and oral communication skills
  • Ability to work under pressure and adhere to tight deadlines
  • Excellent organizational and time management skills
  • Excellent interpersonal skills building positive working relationships with internal and external colleagues and clients
  • The ability to work on your own initiative with a ‘can-do’ attitude
  • Attention to detail with the ability to maintain a high level of accuracy in preparing, tracking, and entering information.
  • Ability to work with discretion and an understanding of confidentiality issues
  • Able to think creatively and resolve challenges and limitations

  • Pro-active, professional and a multi-tasker
  • Organize reservations upon request: (restaurant, car service, etc.)
  • Event coordination on occasion
  • Order catering for client lunches upon request
  • Minimal travel may be needed
