Position Summary: The Assistant Program Coordinator is a temporary position that ends on December 18, 2020. The Assistant Program Coordinator works with the Book In Studio team to create and facilitate additional educational experiences for students on campus or virtually. This could include but is not limited to facilitating shoots, semi-private or private coaching, and working with the production team to aid in the delivery of on-campus projects. The Assistant Program Coordinator will work closely with operations, production office and academic teams to improve student experience and maintain safety protocols.

Major Responsibility Areas:

MRA #1. Collaborate with program chairs, operations, and production office teams to plan and execute In Studio On Set experiences.


  • Support production office and Book In Studio coordinator in coordinating production calendars, equipment requests, and location requests through new booking platform.
  • Work with equipment team to facilitate equipment delivery, return, cleaning, and reset for In Studio On Set productions.
  • Provide student-prescribed on-set mentorship to performers/filmmakers as they produce independent projects
  • Interface with members of the production office and equipment team to help facilitate on-site productions

MRA #2. Collaborate with program chairs, operations, and production office teams to plan and execute In Studio Development experiences.


  • Prepare for and facilitate small group and/or one-on-one, student-prescribed mentorship sessions
  • Work with Book In Studio coordinator and fellow In Studio Development mentors to organize and implement mentorship schedule
  • Work with production office to organize space reservations for In Studio Development sessions
  • Assist program chairs and Book In Studio coordinator in assigning appropriate mentors to meet student needs

MRA #3. Collaborate with operations and production office to plan and execute In Studio Open Space experiences.


  • Work with Book In Studio coordinator and production office to coordinate space reservations for In Studio Open Space
  • Work with operations to monitor In Studio Open Space sessions ensuring student safety
  • Coordinate communication between production office and student in regard to Open Space sessions

MRA #4. Work with all departments to uphold and improve student experience and facilitate student safety


  • Meet with current students availing themselves of the In Studio option to ascertain educational goals and needs
  • Address questions and concerns brought forward by HCLA students
  • Maintain appropriate student social distancing protocols for all on campus activities
  • Assist operations with cleaning and resetting spaces pre and post In Studio sessions

Other duties as assigned.

Job Requirements: The following job requirements represent minimum levels of education, experience and competencies/abilities needed to perform this job successfully:

1. Education: Bachelor’s degree or four (4) years of experience in the film and digital content industry

2. Experience: Minimum of four (4) years of experience working with students and preferred experience on set

3. Competencies: Incumbent must (be) able to:

  • Project a professional image and provide outstanding customer service
  • Keep commitments, meet deadlines and achieve demanding results
  • Practice excellent organizational and recordkeeping skills, with meticulous attention to detail
  • Communicate effectively, both orally and in writing
  • Speak effectively to small groups of people
  • Demonstrate excellent listening skills, to include listening not only for content but for motive
  • Cooperate and collaborate as a member of a team
  • Use Microsoft Word and Excel to maintain records, correspondence, reports and other data
  • Work days and some evenings and weekends if/when required.
  • Attend meetings and training events

4. Physical and Mental Requirements:

Physical Requirements: This job requires normal physical mobility, including the ability to sit and stand for extended periods of time, reach with hands and arms, talk and hear. Normal hand-eye coordination; arm, hand and finger dexterity, including the ability to grasp and lift up to 40 pounds, is also required.

Mental Requirements: This job requires the ability to read, recall, write and understand information. This job also requires the ability to work under moderate pressure and to manage multiple tasks concurrently.

Environment: This job is normally performed in a clean, well-lighted, heated and cooled office area/classroom.
