The Front Office, Communications, and Ticketing Administrator fulfills a wide variety of customer service duties, faculty and student support, and administrative responsibilities; oversees the creation and production of School of Music communication deliverables in a variety of media platforms; manages the concert ticketing system and sales of online and advance concert tickets and concert season passes; and this position reports to the Executive Assistant to the Dean.


Front Office Administrator

  • Receptionist
    • Gracious and inclusive assistance and support to students, faculty, the Stetson community and the public, in person, by phone, and by email.
    • Tasks include but are not limited to ordering office supplies and paper, keeping the three Presser Hall printers running, working with vendors and other Stetson departments as needed (Warehouse, Post Office, Finance, Print Shop, Web Services, etc.), and managing lockers and locker sign-outs
  • Student recital coordinator
    • Organize, schedule, and distribute the slots (“Blue Tickets”) for each music student to perform on recital each semester (14 weeks, 23-25 recitals per semester, in up to three venues simultaneously)
    • Receive and format program information from students and faculty via online form submissions; coordinate with music librarian to edit to Library of Congress standards
    • Collaborate with concert hall manager who will decide order of performers, number of recitals, and venues each week
    • Format, produce, and print up to three different programs each week


  • Marketing and media oversight: primary liaison with Stetson University Marketing
    • Manage School of Music image library: acquisition, storage, and selection
    • Manage work with SU Marketing plan on print ads in national and regional publications: coordinate the annual advertising schedule with administration; use Teamwork to supply content and photographs, make corrections, and approve final proofs
    • Oversee other School of Music design needs and coordinate with SU Marketing, e.g. the School of Music view book, high school audition poster, and other needs as they arise
    • Liaison with SU Marketing to pitch relevant stories inside and outside the university community
  • Concert promotion: project manage and coordinate all communications, marketing, advertising creative and promotional activities for the School of Music 200+ annual concerts
    • Annual concert series brochure
    • Event Management: populate the online concert calendar and coordinate with registrar for cultural credit designation
    • Webgarage: maintain ticketing website, update other concert-related pages as needed (e.g. Stetson Opera Theatre, Concert Choir tour)
    • Mass email (using write, design and publish biweekly
    • Design with SU Marketing quarterly concert posters for campus and downtown DeLand
    • com: mass event upload of all concerts
    • Coordinate content of pitched stories to Orlando Arts Magazine
    • Write monthly concert update including program and performer information for SU Marketing media relations team for use by local news outlets
    • Design via Microsoft Publisher or PowerPoint & post to Presser TV using Webgarage for digital signage of upcoming events
    • Social media posts in collaboration with School of Music social media team
    • Telephone, email (manage [email protected]), and in-person customer service and support, including ticketing questions (see below)
  • Concert program coordination, design, editing, and production
    • For approximately 200 concerts each year, work with faculty, students, and guest artists to collect necessary program and biographical information; coordinate with music librarian to edit according to Library of Congress standards
    • Maintain eight identical sets of program files per year for submission to ASCAP and BMI (copyright and royalties), library, and School of Music.
    • Create digital archive: scan and organize digital files for ASCAP and for School of Music
  • School of Music on-call writer and editor
    • Writing projects as needed for the Dean, Associate Dean, or communication to the community
    • Proofreading and editing support for School of Music administration, faculty, and staff
  • Other School of Music communications
    • Maintain and update School of Music website (WebGarage and SU Web Services)
    • Communicate within the School of Music via email and Presser TV
    • Communicate from the School of Music to the Stetson Community via Stetson Announce


  • Veritix/AXS: manage the School of Music portion of Stetson’s ticketing system
    • Build events (all ticketed concerts), web and back office offers, and ticket templates as well as five different season passes in Veritix/AXS
    • Effective troubleshooting and kind customer service and support with ticketing system as a back-up to the Concert Hall Manager
    • Run reports as needed for revenue, donations, ticket sales, customers, etc.
  • Christmas Candlelight Tickets
    • Publicity of Christmas Candlelight ticket information using all available channels
    • Management of ticket inventory and sales to the public via online or in-person
    • Run sales and other reports as needed for Dean and Director of Choral Activities
    • Working with Concert Hall Manager to print and distribute comp tickets
  • Annual Concert Series and Jazz Passes
    • Oversee design of concert passes with SU Marketing and production of personalized passes with outside vendor
    • Process online and mail-in concert pass orders, including choice of Candlelight tickets
    • Order personalized passes and mail out with Candlelight tickets
  • School of Music concert ticket
    • Build, maintain, and update School of Music concert ticket website using WebGarage

Performs other site and position specific functions as assigned

Minimum Education: Bachelor’s degree or equivalent experience

Required Skills
  • Possess an inviting, professional and inclusive environment to the front office of the School of music to all constituents: students, faculty, staff, and the public
  • Possess exceptional oral, writing, and editing skills
  • Highly proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Publisher, Outlook),
  • Proficient in web content management systems (WebGarage) and in ticketing systems used by Stetson, such as TicketReturn and Veritix/AXS

Required Experience

  • Bachelor’s degree and administrative support experience, preferably in higher education or proven equivalent work experience a plus
  • Proven ability to problem-solve and prioritize a complex set of projects, under deadlines, independently or in collaboration with others
  • Experience in design and format for both web and print content
