The Scripps Howard Foundation is seeking an experienced, energetic Support Services Specialist to join a small but dedicated team of professionals. We are seeking candidates who are passionate about supporting others in our mission of improving lives through journalism, childhood literacy and community giving. This position will be responsible for a variety of bookkeeping, administrative and support services. We are seeking a highly organized, detail-oriented individual with a record of success in similar positions and proficiency with Office 365 and accounting software/tools. This position will be in Cincinnati, OH, with some travel (5-10%) required.

Primary Purpose: The Office Support Specialist provides an array of administrative, office and bookkeeping services in support of the Scripps Howard Foundation’s mission.

Key responsibilities:


  • Responsible for accounts payable, including invoices, grants, reimbursements, etc.
  • Reconcile gifts made via payroll deductions
  • Maintain reports and schedules to assist in cash needs projections, budgeting, auditing and tax filings

Administrative and Support Services

  • Answer and route calls; open and route mail
  • Provide administrative support to the CEO (maintaining calendar and scheduling meetings, booking travel, completing expense reports)
  • Gather and maintain Foundation files and records, including legal records and filings, photo and video files, accounting records,
  • Enter data into donor database
  • Prepare, mail and maintain donor thank you letters
  • Execute a variety of mailings, both electronic and physical, including maintaining and updating mailing lists, merging emails/letters, stuffing and mailing.
  • Plan board and staff recognitions and celebrations
  • Provide support for event planning, as needed


  • Manage Volunteer and Matching gifts program, working with vendors and Scripps accounting to ensure payment, tracking, and promotion of the programs


  • Bachelor’s degree or a high school diploma with three to five years of support experience that includes duties such as word processing, data entry and bookkeeping
  • Ability to lift 30 pounds
  • Experience with Workday accounts payable preferred
  • Experience with Office 365 required-Excel, Word, Outlook, Powerpoint, Forms, Sharepoint, One Drive
  • Experience with accounting software and/or donor database a plus
  • Overtime required at various times throughout the year
  • Some travel required (5-10%)
