Primary responsibilities and expectations for the position are outlined below.

ESSENTIAL FUNCTIONS:

Special Events:

Under the direction of the Development Director, has lead role in planning and producing major fundraising and “friendraising” events using Whittier’s well-established annual events timeline (e.g., Women4Whittier Holiday Tea, Roast, Men’s Health Summit). Key activities include:

o Event venue planning and logistics;

o Negotiating and managing contracts with vendors;

o Design, production and mailing of save-the-date and invitation;

o Sending out and tracking corporate and individual sponsorship solicitations;

o Ensuring recognition of all sponsors by level in appropriate channels;

o Engaging local print and TV media to cover events as appropriate;

o Coordinating video production as needed for event programs;

o Recruiting, training and coordinating volunteers and committees;

o Managing all event logistics (table & ticket sales, registration, seating, procuring donated auction items, gifts or awards for speakers and special guests, etc.)

o Sending post-event thank you letters and emails

Marketing and Communications:

Under the direction of the Development Director, produce and post content in appropriate media to keep patients, donors, board members, health professionals and the Whittier communities informed of all the events and services offered at the Health Center in Roxbury and satellite clinic in Dorchester, as well as through the mobile health vans. Key activities include:

– Internal coordination of all information and content required for the design and production of Whittier’s annual report, in partnership with an external consultant;

– Updating and maintaining the Whittier website regularly, in coordination with the IT department, especially the “News & Events” page;

– Writing and producing ads and press releases for local newspapers (Bay State Banner, Dorchester Reporter, etc.);

– Creating marketing materials (posters, flyers, brochures) for use by Whittier programs;

– Writing short bi-monthly blogs and articles tied to monthly health themes and using e-marketing tools (Constant Contact, social media) to disseminate these widely;

– Updating patient feedback sites (FaceBook, Google, Twitter, Yelp, Wikipedia) to ensure balanced coverage and address negative reviews; and

– Other communications tasks as assigned for Development and the President’s office.

Development Operations:

In collaboration with Executive Assistant/Development Associate, is responsible for managing and maintaining all Development and Marketing/Communications records, including:

– Gift processing, reporting and acknowledgments, with all records to be updated in Raiser’s Edge;

– Coordinating with the Finance Department to record and track all gifts and grants;

– Maintaining all files in appropriate folders on Marketing and Communications drive.

Required Experience, Skills and Competencies:

– Proven experience in planning and executing major events

– Knowledge of major computer software programs and tools, including Microsoft Office Suite, and Adobe Acrobat

– Skilled in using social media platforms for publicizing events and amplifying all Whittier communications and messaging

– Strong writing, editing, and oral communication skills

– Exceptional organizational skills and attention to detail

– Ability to work in a fast-paced environment and manage multiple projects and deadlines

Job Type: Full-time

Pay: $25.00 – $27.00 per hour

Education:

  • Bachelor’s (Preferred)

Experience:

  • Fundraising: 2 years (Preferred)
  • Raiser’s Edge or similar fundraising database: 2 years (Preferred)
